Student Centers Fee Structure
To comply with the Comptroller’s Office and federal regulations set forth in The Office of Management and Budget Circular A-21, Student Engagement has implemented a fee structure and invoice calculation that reflects the actual costs associated with renting space and producing an event. The invoicing process provides a straight-forward calculation of room rental and production costs.
Space Reservation and Production Fees
Available Rental Space: Conference Rooms
- Schine Student Center Meeting Rooms – Schine 128, 227, 228 and 229, $52/hour.
- Schine Student Center Meeting Room 137 – No fee charged for all users (must be reserved in advance).
- Schine Student Center 304ABC and Goldstein Student Center 201ABC fees based on room configuration (plus ETS staffing costs if required).
- Rooms A, B or C reserved individually will be billed at the hourly rate ($52/hour for FY24).
- A two-room combination of either AB or BC will be billed at 1.5 times the hourly rate ($78/hour for FY24).
- Reservations utilizing all three rooms (ABC) will be billed at double the hourly rate ($104/hour for FY24).
- Users needing multiple rooms but wanting to keep wall partitions closed will be billed at the lowest possible combination. An AB reservation with the walls closed will still be billed as 1.5x rate
- A chart string or I.D. is required to confirm a conference room reservation.
Available Rental Space: Event Spaces
- Panasci Lounge – $52/hour plus ETS staffing costs if required.
- Skybarn – $47/hour plus required ETS staffing costs.
- The Underground – $150/event plus required ETS staffing costs.
- Goldstein Auditorium – $650/event plus required ETS staffing costs.
- ETS Staffing Costs: All event spaces require an event package.
The Student Centers Fee Structure consists of three basic fee types, each of which is explained in detail below:
- Hourly room rent
- Flat rate room rent
- ETS event package
If you are hosting an event, you will also be subject to security costs and possible additional equipment rentals based on the needs of that event. Per University policy, a minimum of one Safety officer and one DPS officer shall be present for each event. Large events with high profile guests may also require the use of stadium security staff to assist with security screenings and crowd control.

Any Recognized Student Organization, fraternity, sorority or any group designated through Recreation Services will not be charged the room rental fee. Those organizations will still be responsible for the ETS package, safety, security and any other fees associated with an event.

Hourly rental fees include room setup and technical support. Technical support is limited to room installed equipment. Special equipment requests may incur additional fees. Student Engagement does not provide laptops to conference room users.

In addition to the room rent fee, an event may also be charged an Event and Technical Services (ETS) package fee. Due to the public nature of the lounge, Student Engagement will only close the lounge for events from 6 p.m. until midnight on Friday and Saturday evenings during the academic year. Approved events will be either reception style or information fair style to accommodate the existing furniture with supplementation. We cannot remove existing furniture from the space. Organizations wishing to schedule outside of that time frame need the approval of the Executive Director of Student Engagement.

In addition to the room rental fee, each event space rental is also charged an Event and Technical Services (ETS) package fee. Package fees are flat rate and cover all necessary labor for setup and event staffing, as well as all department-owned equipment necessary to support the event. Package costs vary based on the needs of the event and are outlined below. Packages are assigned based on the technical needs of any guests or performers, as well as the overall focus of an event. If necessary, additional equipment rentals and specialized staff arrangements will be charged to the sponsor.
- Student Engagement reserves the right to determine the appropriate package for a given event.
- Package rates are based on a 4-hour event maximum. Longer events will incur additional staffing charges at a rate of $93/hour.
- Equipment with limited inventory is assigned on a first come, first served basis. Secondary events requiring the same equipment may incur additional rental costs.
- Security costs are in addition to these fees.

This package also includes the staffing to provide technical and setup-related support during the reservation. This package does not support singing, dancing or instrumental performances.

Organizations can schedule non-technical rehearsals without additional cost as venue availability allows. Student Engagement does not guarantee use of the sprung/marley dance floor for non-technical rehearsals.

This package provides technical support for events featuring multiple musical acts including lighting, audio, and projection. This package also includes the staffing to provide technical support and venue management during the reservation. Technical staff will be made available for sound checks, but this package does not cover technical rehearsals. Artist requirements may necessitate the rental of additional equipment or even 3rd party audio or lighting systems. Those costs will be in addition to the Student Engagement package fee. Security costs for concerts can be significantly more than other events based on the security measures required and the popularity of the artists.

Organizations can schedule non-technical rehearsals without additional cost as venue availability allows. Student Engagement does not guarantee use of the sprung/marley dance floor for non-technical rehearsals.
Events may require Fire Safety and Public Safety staffing, to be itemized separately. Contact Scott Casanova, 315.443.4458, to obtain an estimate.
Student Engagement requires 72 hours’ (three business days) notice prior to a reservation for cancellation without penalty. If a reservation is canceled with less than three business days’ notice, the sponsor is responsible for the cost of the room rental associated with their reservation.
Reservations classified as Rain Locations are subject to 24 hours’ notice for cancellation without penalty. Reservations in Student Centers spaces must be tied to Outdoor Space reservations to be classified as Rain Locations. Any reservation not meeting the criteria is subject to the Event Cancellation Policies.
