Changes to Reservations

All changes or updates to reservations must be made using the online update/cancellation form. Changes or updates to your reservation may be made up to 2 days prior to the event. Reservation estimates will be updated to reflect any package changes or rental fees that may be associated with your event.


All cancellations must be made in writing via our online update/cancellation form. Cancellations over the phone or in-person will not be granted.

  • We require 72 hours (3 business days) notice prior to a reservation for cancellation without penalty. If a reservation is canceled with less than three business days’ notice, the sponsor is responsible for the cost of the room rental associated with their reservation, if applicable.
  • Reservations classified as Rain Locations are subject to 24 hours’ notice for cancellation without penalty. Reservations in Student Engagement spaces must be tied to Outdoor Space reservations to be classified as Rain Locations. Any reservation not meeting the criteria is subject to the general cancellation policy.
  • Events may be canceled by Student Engagement if a representative from the sponsoring organization does not successfully complete a logistics meeting with a Student Engagement event consultant prior to the date 2 weeks before the scheduled event.  If the scheduled event falls on a weekend, deadlines will then fall on the third Friday prior to the event.  Failure to meet these logistics deadlines will result in cancellation of the event.
  • Student Engagement reserves the right to cancel or postpone events due to health and safety concerns.
