Make a Reservation

Student Engagement assists the University community in reserving spaces and scheduling non-academic events on campus. Gatherings and special events open to the campus community or the community at-large may be requested through the 25Live reservation platform. Review our reservable spaces.

The following groups can reserve a space:

  • Registered Student Organizations (RSOs)
  • Recognized Greek chapters
  • Recognized Graduate Student Organizations
  • Recognized recreation/athletic clubs
  • Recognized academic student organizations
  • Academic and administrative units

All reservations must use the online reservation system 25Live.  We are not able to take requests over the phone, email or walk-in requests.

For full consideration, reservations must allow the appropriate number of business days for processing.

Requests do not guarantee a room. Email confirmations will be sent to the requestor.

Additional Reservation Details

The following restrictions apply when making a reservation:

  • Individual persons (students, faculty, staff) are not permitted to make a reservation.
  • Outside entities are not permitted to make a reservation.
  • Eligible campus-based users, student organizations, or individuals may not reserve space in the student centers for another person or group. Hiding or concealing the identity of the true client due to non-eligibility for use of facilities, monetary exemptions, or the policies and mission of Syracuse University is not permitted.
  • Individual students and/or employees of the University may not reserve space for commercial purposes.
  • Student organizations may not act as agents for University departments, off-campus persons or organizations in order to receive student organization rates for use of space.
  • University departments may not act as agents for off-campus vendors or organizations to receive department rates for use of space.
  • Student organizations, University departments, and non-University clients may not reserve space for individuals or organizations that are not directly involved with the event or the requesting organization.

Please note: scheduling a space for a class project or other reason not directly related to registered student organizations may be requested in writing to scpsscheduling@syr.edu. Approval will be granted based on the completion of specific criteria outlined upon request.

Any student organization, University department, or non-University client that violates the reservation policy is subject to sanctions, including paying for the space at the highest appropriate rental rate, or having the event cancelled.

  • Events are limited to a duration of four (4) hours with the exception of banquets (full meal) and concerts.
  • Event duration is considered the start of program to end of program.
  • The default door time is 30 minutes prior to the program start.
  • For events needing rehearsals:
    • Rehearsals running four (4) hours or longer require Student Engagement staff be allocated a 15-minute break every 2 hours.
    • Rehearsals running 6 hours or longer require Student Engagement staff be allocated a 30-minute break every 4 hours.
    • Rehearsals scheduled the same day as events must take a full hour break prior to the event, starting no later than 1 hour prior to the scheduled door time.
  •  No student events are allowed before the first day of classes or after the last day of classes.
  • Curfew (rehearsals and events) is 11 p.m. (Seven days a week)

Student centers and academic spaces may be approved for use based on the following priorities, and a review of the requested programmatic/technical needs and intended event capacity.

Student Center Reservation Considerations

  1. Events and/or programs determined by the University-wide calendar including, but not limited to: Syracuse Welcome, Orange Central, Family Weekend, Commencement,
    Admissions Days, Chancellor Initiative Events and Coming Back Together Reunion Weekend.
  2. Events and/or programs sponsored by Recognized Student Organizations. Events funded through the Space Allocation Process or special programming will have priority.
  3. Events and/or programs sponsored by the Division of Enrollment and the Student Experience through the support of the Syracuse University Co-curricular Fee.
  4. All other academic and administrative uses.

Academic Space Reservation Considerations

  1. Academic course and exam scheduling
  2. Events and/or programs determined by the University-wide calendar, such as Syracuse Welcome, Orange Central, Family Weekend, Commencement, Admissions Days, Arts & Sciences First-Year Lecture and Coming Back Together Reunion Weekend.
  3. Events and/or programs sponsored by academic and/or administrative departments.
  4. Events and/or programs sponsored by recognized student organizations in good standing with the University.
