{"id":132,"date":"2020-12-08T15:15:55","date_gmt":"2020-12-08T15:15:55","guid":{"rendered":"https:\/\/ese-tst.syr.edu\/studentconduct\/?page_id=132"},"modified":"2026-08-09T16:19:20","modified_gmt":"2026-08-09T16:19:20","slug":"transcript-notation","status":"publish","type":"page","link":"https:\/\/experience.syracuse.edu\/community-standards\/sexual-relationship-violence\/transcript-notation\/","title":{"rendered":"Transcript Notations and Expungement"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Please refer to Part 13 of the <a href=\"https:\/\/experience.syracuse.edu\/community-standards\/conduct-process\/student-handbook\" data-type=\"link\" data-id=\"https:\/\/experience.syracuse.edu\/community-standards\/conduct-process\/student-handbook\">Student Conduct System Handbook <\/a>for the full policy.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Disciplinary records are retained for seven (7) years from the date of the student\u2019s most recent violation or until one (1) year after the student has graduated from the University, whichever is longer. Records of students suspended, expelled, prohibited from future enrollment, or otherwise withdrawn for disciplinary reasons are retained indefinitely. Records retention policies for academic dishonesty cases may vary and are maintained by the Academic Integrity Office.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"> Such records may include, without limitation, investigation reports and evidence, hearing records, disciplinary decisions or communications, appeals, resolution documents, requests for and provision of Supportive Measures, and other records demonstrating actions the University took to respond to the reported conduct.<\/p>\n\n\n\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li>Students found to be responsible for conduct violations that result in suspension or expulsion as a result of behaviors including, but not limited to acts of physical violence, sexual misconduct, stalking, dating\/domestic violence, hazing, acts which cause injury to others, or those which may also be classified as reportable under the Clery Act will have the following notation listed on their transcript:<br>\n<ul class=\"wp-block-list\">\n<li>In cases of suspension \u2013 \u201cAdministrative Withdrawal \u2013 University Initiated \u2013 Suspended after a finding of responsibility for a Student Conduct Code violation.\u201d<\/li>\n\n\n\n<li><span style=\"font-size: 1.25rem\">In cases of expulsion: \u201cAdministrative Withdrawal \u2013 University Initiated \u2013Expelled after a finding of responsibility for a Student Conduct Code violation.\u201d<\/span><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><span style=\"font-size: 1.25rem\">If a student alleged to have been involved in an incident that could result in a sanction of suspension or expulsion, withdraws from the University with an investigation or conduct case pending, the following notation will be listed on their University transcript: \u201cAdministrative Withdrawal \u2013 University Initiated &#8211; Withdrew with Conduct Charges Pending.\u201d<\/span><\/li>\n\n\n\n<li>In the event that a student elects to withdraw with charges pending and the case is later resolved, the notation will be updated accordingly and reflect the resolution. If a student is found \u201cNot Responsible,\u201d the notation will be amended to read \u201cAdministrative Withdrawal \u2013 University Initiated\u201d.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">The University may place a temporary notation on the transcript of a student who is currently enrolled in instances where there is a pending University investigation and\/or conduct process that has not yet concluded. The temporary notation shall indicate there is a \u201cConduct Matter Pending.\u201d This notation does not indicate any finding or determination of responsibility. In the event that a student withdraws, or if they are found responsible and suspended or expelled after a full process, this notation will be updated as outlined in Part 13.2.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Suspended students may appeal the notation on their transcript one (1) year after the completion of their suspension to the Director of Community Standards, or designee under the following conditions:<\/p>\n\n\n\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li>It has been a minimum of one (1) academic year since a student\u2019s suspension period concluded.<\/li>\n\n\n\n<li><span style=\"font-size: 1.25rem\">There have been no further conduct violations by the student since their suspension. If a student is responsible for any additional conduct-related incidents which took place after the start of the suspension, appeals will not be considered.<\/span><\/li>\n\n\n\n<li><span style=\"font-size: 1.25rem\">The student has completed all readmission and\/or other sanction requirements at the time of the request.<\/span><\/li>\n\n\n\n<li>Requests for removal of a suspension notation should be submitted in writing to Community Standards using the <a href=\"https:\/\/cm.maxient.com\/reportingform.php?SyracuseUniv&amp;layout_id=26\">Transcript Notation Appeal Form<\/a>. Submissions should contain the following:\n<ul class=\"wp-block-list\">\n<li>A brief description of the incident and the sanction(s) imposed.<\/li>\n\n\n\n<li>Detailed reflection on the student\u2019s actions, including how they have impacted the student as well as others. <\/li>\n\n\n\n<li>An account of the student\u2019s decision-making and behavior since the incident.An explanation as to why the student believes the transcript notation indicating suspension should be removed from their transcript.<\/li>\n\n\n\n<li>Any optional supporting material which reinforces the student\u2019s request and\/or demonstrates their acceptance of accountability and growth since the incident.<br><br>All requests will be responded to in writing. If the request is granted by Community Standards, the suspension notation will be removed. An \u201cAdministrative Withdrawal \u2013 University Initiated\u201d notation will remain on a transcript to reflect a student&#8217;s time away from the University. If the request is denied, the student may appeal to the Dean of Students, whose decision shall be final.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>If a notation appeal is granted, it only removes the notation on the academic transcript. It does not remove the University\u2019s conduct record for the incident and the outcome, which is maintained separately by Community Standards.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Expungement Policy<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A student found responsible for violating University policy may request expungement from the Director of Community Standards, or designee.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A student may initiate the request by completing the&nbsp;<a href=\"https:\/\/cm.maxient.com\/reportingform.php?SyracuseUniv&amp;layout_id=67\">Request for Expungement Form<\/a>&nbsp;with Community Standards.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A student is eligible to request expungement if:<\/p>\n\n\n\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li>The student has completed all assigned sanctions by the assigned deadlines;<\/li>\n\n\n\n<li>The student is in good standing with the University; and<\/li>\n\n\n\n<li>The student remained free of any Conduct Code violations for two (2) full consecutive academic semesters since the violation at issue.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">A student whose violation occurs the semester in which they graduate may apply for expungement if they have met all other requirements and can demonstrate they are applying to professional or graduate school.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Should a student be found responsible for a violation of the Student Conduct Code after an expungement has been granted, the original conduct record may be restored, and the previous record may be considered in determining appropriate sanctions in the new case.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Expungement will not be granted for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Records of expulsion<\/li>\n\n\n\n<li>Incidents involving violations determined to be motivated by bias<\/li>\n\n\n\n<li>Academic Integrity violations<\/li>\n\n\n\n<li>Incidents involving participation in acts of hazing as defined in University policy<\/li>\n\n\n\n<li>Incidents involving sale or distribution of drugs\/controlled substances<\/li>\n\n\n\n<li>Incidents causing significant damage to property<\/li>\n\n\n\n<li>Incidents causing significant injury<\/li>\n\n\n\n<li>Incidents involving violations of the University\u2019s Sexual Assault, Stalking, Gender-Related Harassment, Dating or Domestic Violence, and\/or Sexual Harassment, Abuse, and Assault Prevention policies.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">All requests are subject to approval by the Director of Community Standards or designee. Expungement requests that are denied may be appealed to the Dean of Students or designee, whose decision shall be final.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Please refer to Part 13 of the Student Conduct System Handbook for the full policy.
